Who we are
LedgerOS LLC (“LedgerOS,” “we,” “us”) provides practice management software to accounting firms. This policy explains what information we collect, how we use it, and the choices you have.
We serve two kinds of people: the accounting firms who subscribe to LedgerOS, and the clients of those firmswho use the client portal we host on the firm’s behalf. When a firm uses LedgerOS to work with its clients, the firm decides what information is collected and why; we process that information on the firm’s instructions.
Information we collect
- Account information — name, email address, phone number, firm name, and role, provided when an account is created.
- Firm and client data — documents, messages, engagements, invoices, and other records that firms and their clients upload to or create in LedgerOS.
- Payment information — handled by our payment processors. We do not store full card or bank account numbers on our servers.
- Usage information — log data such as IP address, browser type, pages viewed, and timestamps, used to operate and secure the service.
Text messaging (SMS)
If you provide a mobile number and affirmatively consent, LedgerOS may send text messages on behalf of your accounting firm — for example, document requests, e-signature reminders, deadline notifications, and account alerts.
We do not sell, rent, or share mobile phone numbers or SMS consent with third parties or affiliates for their own marketing purposes. Mobile numbers and consent are used only to deliver messages related to your account with the accounting firm you work with. Mobile information is shared only with the communications providers we use to transmit the messages you have asked to receive, and only for that purpose.
Message frequency varies based on your account activity and the work your firm is doing for you. Message and data rates may apply. You may opt out at any time by replying STOP to any message, and you can reply HELP for assistance. Opting out of text messages does not affect your ability to use the client portal or to receive communications by email.
Consent to receive text messages is never required as a condition of using LedgerOS or of doing business with your accounting firm.
How we use information
- To provide, maintain, secure, and improve the service.
- To deliver the communications you or your firm have asked for.
- To process payments and manage subscriptions.
- To provide support and respond to requests.
- To comply with legal obligations.
We do not sell personal information, and we do not use firm or client data to train third-party AI models.
How we share information
We share information only with service providers that help us operate LedgerOS — such as cloud hosting, payment processing, document processing, email delivery, and messaging providers — and only to the extent needed to perform those services. We may also disclose information when required by law, or to protect the rights and safety of LedgerOS, our customers, or others.
Security and retention
LedgerOS runs on infrastructure with industry-standard encryption in transit and at rest, with access controls that isolate each firm’s data. No system is perfectly secure, and we cannot guarantee absolute security. We retain information for as long as an account is active and as needed to meet legal, tax, and professional recordkeeping requirements, then delete or de-identify it.
Your choices
You may review and update your account information at any time, opt out of text messages by replying STOP, and unsubscribe from non-essential emails using the link in those emails. Depending on where you live, you may have additional rights to access, correct, delete, or port your information. If you are a client of an accounting firm, direct those requests to your firm; we will assist the firm in responding.
Children
LedgerOS is a business tool and is not directed to children under 13. We do not knowingly collect personal information from children.
Changes
We may update this policy. If we make material changes, we will update the date above and, where appropriate, notify account holders.
